Administration Assistant

An exciting new opportunity has just opened up at Keystone Law for an Administration Assistant at its London offices on Chancery Lane.

The Solicitor Support team is a friendly and tight-knit team at the heart of everything the firm does. The Administration Assistant is a key role in that team. Your duties will involve looking after the firm’s lawyers and its clients. You will responsible for a wide range of office duties within all aspects of administration, including with the coordination and delivery of post. Training will be provided and there is the opportunity for internal promotion for high achieving candidates.

  • Day-to-day check of stock levels for all printers, post and DX stationery
  • Working closely with accounts team on receipt of cheques, fees and invoices
  • Managing the disposal of confidential waste
  • Administration support for lawyer on-boarding
  • On-going maintenance of lawyer details on file
  • Assisting lawyers on a daily basis with all administrative queries
  • Archiving filed and confidential documentation
  • Dealing with incoming and out going post as part of the admin team
  • Archiving files and confidential documentation
  • Booking couriers
  • Dealing with external suppliers
  • Managing stocks of all branded stationery and dealing with external suppliers
  • Binding of legal and marketing material
  • Assisting with all internal training events
  • Ad hoc administrative tasks as needed
  • Managing, sorting and circulating of all office post
  • Collection and drop off of DX post
  • Filing of all office post
  • Maintaining post record
  • Photocopying and scanning of all office post
  • Co-ordinating and distributing post
  • First point of contact with our Mayfair office on post related matters
  • Maintaining our relationship with Royal Mail and the DX
  • Managing post email inbox
  • Liaising with lawyers on post-related matters
  • Responding to post enquiries from lawyers

Ideal applicants will be able to demonstrate:

  • Good knowledge of MS Office applications
  • Good email etiquette 
  • Excellent written, telephone and office manner
  • Excellent communication, organisational and team skills
  • Strong attention to detail
  • A positive pro-active attitude and much common sense
  • Discretion when dealing with confidential information
